It happens all the time - you're working through your to-do list when it hits you: Your event is next week... and the merch didn't get ordered.

First things first, take a breath. This is more common than you think, and you're not out of options! At College Hill, we're here to help you find a solution, even on a tight timeline.

Of course, when it comes to custom merchandise, more time is always better. But when life happens (as it often does), rush orders can absolutely be the right move. You just need to know where to start and what to expect!

What Counts as a Rush Order?

In our world, a "rush" simply means anything that falls short of standard production timelines:

    • Standard Screen Printing: ~ 2 weeks
    • Standard Embroidery: ~ 3-4 weeks
    • Standard Promotional Products: Typically ~ 2 weeks

If your timeline is tighter than these benchmarks, your order will likely be considered a rush to some degree. From there, the level of urgency, and what's possible depends on a few key factors.

What to Expect with a Rush Order

Rush orders can be incredibly successful, but they do come with a few important considerations:

    1. Clear deadlines are everything
      • It's helpful to provide both a desired in-hands date and a drop-dead date if possible. If your order is tied to an event, let us know upfront. This gives our team the full picture and allows us to plan accordingly.
    2. Shipping moves faster (and may cost more)
      • To meet tight deadlines, expedited shipping is often required. While we always try to avoid added costs where possible, faster transit times can sometimes be a necessary piece of the puzzle.
    3. Rush fees may apply
      • Shortened production timelines can come with additional fees. That said, our team will always explore creative solutions to help minimize or avoid these whenever possible.
    4. Product options may be more limited
      • To save time, we often need to source inventory that's readily available and close to our decorators. This can narrow down product choices - but helps ensure we stay on schedule.
    5. Decoration methods may be simplified
      • Certain techniques, like embroidery, require more time and may not be feasible on a tight turnaround. Similarly, complex designs (multiple print locations, detailed finishes) may need to be streamlined to keep production moving efficiently.
    6. Transparency is key
      • If we don't believe we can meet your timeline, we'll tell you as early as possible. Our goal is always to set clear expectations and avoid last-minute surprises.

A Quick Note on Speed

With rush orders, everything moves quickly - not just production. Quotes, artwork approvals, and invoices typically need to be reviewed and approved within 24-48 hours. In some cases, turnaround times can be even shorter.

The faster approvals are completed, the smoother the entire process will be!

When Do Rush Orders Work?

Rush orders tend to work best when:

    • Communication is timely and consistent
    • Approvals are completed quickly (ideally within 24 hours)
    • Designs are relatively simple
    • There's flexibility where needed (product, decoration, or shipping)

Of course, not every rush order is straightforward - and that's okay! Our team is experienced in navigating tight timelines and finding solutions that balance speed with quality. At the end of the day, giving as much lead time as possible and staying engaged throughout the process sets your order up for success.

When Don't Rush Orders Work?

There are unfortunately always limits to what is possible.

If you need fully custom merchandise within 24 hours, it's unlikely to be feasible. Even under ideal conditions, most orders require at least:

    • 1-2 days for blank goods to reach the decorator
    • 1-4 days for production

Beyond timing, other factors can also impact feasibility, including:

    • Order size
    • Decoration complexity
    • Product availability

Sometimes, despite everyone's best efforts, the timeline just doesn't align - and it's important to us that we remain upfront about that.
