If you’ve ever ordered custom merch before, you know there’s a bit of magic involved - blank garments turn into something uniquely yours. But behind that magic is a carefully coordinated timeline that helps ensure everything arrives looking great and right when you need it.
Whether you’re planning for an event, a product launch, or an onboarding program, understanding timelines (and how to plan backwards) can make the entire process smoother, less stressful, and - dare we say - actually enjoyable.
Why Planning Ahead Makes All the Difference
Custom merch isn’t an off-the-shelf purchase. Each order goes through several important steps: finalizing artwork, selecting garments, decorating, quality checks, and shipping. Giving each phase the time it needs helps avoid last-minute rushes, unexpected fees, or tough compromises.
The short version? The earlier you reach out, the more flexibility you’ll have - and the happier everyone will be!
General Timelines to Expect
While every order is a little different, here are some helpful general timelines to keep in mind for standard orders:
All together, for a non-rushed order:
How to Plan Backwards (Our Favorite Trick)
When you're working toward a specific event or deadline, the best place to start is your desired in-hands date - the day you want the merchandise delivered and ready to go.
From there, count backwards (and be sure to count business days only) -
Start with your in-hands date
The final date is ideal time to reach out to your Account Manager and kick off the order journey.
A Good Rule of Thumb
If you want to play it safe, giving yourself about a month from the time you'd like to receive your order is a solid plan - especially for embroidery. Screen-printed items have a bit more breathing room, but still benefit from ample planning time.
If you're working with a firm deadline or hoping for a quicker turnaround, be sure to let your Account Manager know upfront. Rush production may be possible, but it often comes with additional fees and tighter approval timelines.
Timelines Don't Have to be Intimidating
With a little backwards planning, and a proactive start, you'll set your order up for success from day one. And remember, your Client Services and Account Management teams are here to help guide you every step of the way!
When in doubt, reach out early - your future self (and event timeline) will thank you!
